Administrative Assistant – Winona

Full-time Administrative Assistant needed to work out of our Winona shop. Perform clerical, administrative, front receptionist and service dispatch functions within a small but busy heating and air conditioning office:

  • Answer phones using multi-phone line system.
  • Greet/wait on customers.
  • Schedule and dispatch service appointments/calls.
  • Financial transactions (process payments, bank deposits, petty cash reconciliation, financing approvals).
  • Prepare sales proposals.
  • File warranties, process rebates, complete gas compliances and requests for certificates of insurance and lien waivers.
  • Sort/distribute mail.
  • Data entry (new customer set-up, customer record updates), correspondence, create reports, maintain records.
  • Resolve customer concerns, billing disputes and complaints
  • Order office supplies.

Hours: Monday – Friday; 8 am – 5 pm (with 1 hour lunch)

Qualifications:

  • 1-2 years administrative/office assistant experience and/or education.
  • Computer proficient, especially in Word and Excel.
  • Ability to work independently in fast-paced, high call volume work environment.
  • Strong customer service and problem solving skills with ability to calmly manage challenging situations and/or customers.
  • Ability to multitask, be a self-motivator, and maintain efficiency.
  • Personable and friendly demeanor.
  • Reliable and dependable. Report to work timely and as scheduled.
  • Valid driver’s license required (minimal driving–i.e. bank)
